
A tablet used occasionally for navigation has a very different job from one running dispatch, inspections, job management, asset records, scanning, and field reporting throughout an entire workday.
For New Zealand field teams, the challenge is not simply choosing a tablet holder. The complete setup has to keep the device usable throughout the shift, maintain reliable power, preserve access to the functions staff need, suit the conditions the vehicle works in, and perform consistently under real operating conditions.
This guide explains how to plan and validate a tablet mount setup for field teams before it is approved for day-to-day use or rolled out across multiple vehicles.

What should a tablet mount setup for field teams prove before rollout?

A complete field tablet setup is more than the holder. It brings together the mounting hardware, tablet holder or dock, power arrangement, working position, cable management, and an approved operating configuration.
Before the setup goes live, it should prove six things.

These requirements need to be tested together.
A tablet may fit securely but lose charge during a long shift. A powered connection may solve charging but interfere with a case or peripheral. A position that looks suitable in the depot may create glare or unwanted movement once the vehicle is on the road.
The useful question is not simply whether the mounting hardware fits. It is whether the complete setup supports the work the tablet is there to do.
Define the tablet workload before approving the setup
Start with how the tablet is used during a normal shift.
A device used occasionally for forms has a different workload from one running navigation, GPS, mobile data, dispatch software, cameras, scanning applications, and job-management systems for several hours at a time.
Record the exact tablet model and assess it in its normal working configuration. That includes the protective case and any accessories that stay attached during field use.
Then look at the workflow.
How long is the screen normally active? How often does the technician remove the tablet from the vehicle? Is the rear camera used for site photos? Does the worker need a stylus, scanner, USB-C connection, keyboard, or another peripheral?
These details determine whether the proposed setup is genuinely practical.
A holder that secures the device but makes a frequently used camera, port, or scanner difficult to access has solved only part of the problem.
Test the tablet in its real working configuration
Do not validate the setup using a bare tablet if staff normally use the device inside a protective case.
The case can change the external dimensions, weight, corner shape, charging access, and the way the device sits in a holder or dock. Hand straps, stylus attachments, scanning accessories, and other add-ons can introduce further differences.
The test device should therefore match what the worker will actually carry into the field.
Pay particular attention to functions that are used repeatedly during the day. If technicians photograph equipment, make sure the camera remains practical to use. If staff scan barcodes or asset tags, test the scanning motion from the installed position. If the tablet is removed at every customer or worksite, make sure that repeated removal and replacement remains straightforward.
Small workflow problems can become significant when they are repeated across hundreds of jobs or multiple vehicles.
Plan for power continuity, not just charging
For a field tablet, the relevant question is not whether the device can be plugged in.
Can the power setup support the tablet through a normal working shift?
Navigation, GPS, mobile data, high screen brightness, cameras, scanning functions, and field applications can all increase power demand.
Test the charging arrangement while the tablet is doing the work staff actually perform. A charger that increases battery level while the tablet is idle may behave differently when several power-intensive functions are running at the same time.
Also check the vehicle power source. Some vehicle outlets remain live after the ignition is switched off, while others do not. That can affect both charging behaviour and what happens when a vehicle is parked.
If a charging cable is being used, look at how it behaves during the working day. Repeated tablet removal, vehicle vibration, and travel on rough surfaces can all place strain on the connector.

Check that the setup supports the worker's actual tasks

A field tablet should be assessed as a working tool, not simply as a device that fits inside a holder.
Think through a normal job from the worker's perspective.
If the tablet is used for navigation between sites, can the screen be viewed appropriately? When the vehicle stops, can the technician access the applications and controls they need without awkward repositioning?
If the tablet leaves the vehicle at every job, removal and replacement should fit naturally into that routine. If the tablet stays mounted for most of the day, charging, screen position, and access to important functions may matter more.
Peripherals also need to be tested as part of the complete setup. A stylus that becomes difficult to reach, a scanner that cannot be used comfortably, or a cable that needs to be disconnected awkwardly at every stop can create recurring problems.
The aim is to identify these issues before the configuration becomes the normal way the team works.
Validate the setup against New Zealand field conditions
New Zealand field vehicles operate across very different environments. The acceptance test should represent the conditions the vehicle actually encounters rather than the easiest conditions available near the depot.

If a vehicle regularly operates on gravel roads, include gravel roads in the test. If the tablet is being deployed to forestry or rural service vehicles, include those access conditions.
A setup that performs well during a short sealed-road drive may behave differently after several hours of sustained vibration.
This approach keeps the test focused on the application rather than making assumptions based only on product specifications.
Check the tablet's working position inside the vehicle
Tablets occupy considerably more visual space than phones, so the installed position should be evaluated with the complete device fitted.
Sit in the normal driving position and check the windscreen view, mirrors, vehicle controls, airbags, and normal entry and exit.
Also consider how the tablet is actually used. A device displaying navigation during a long regional journey has different requirements from a tablet mainly used for completing forms while the vehicle is stationary.
Glare should be checked outside the workshop too. Changing light conditions can make an otherwise convenient position difficult to read.

Check New Zealand driver visibility and device-use requirements
Driver visibility and permitted device use should be checked as part of the field acceptance process.
NZ Transport Agency Waka Kotahi guidance says that if you use a navigation app on a phone or tablet, the device must be easy to see without blocking the driver's view. NZTA also provides guidance on keeping the windscreen's critical vision area clear.
For mobile phones, these requirements sit alongside the current Land Transport (Road User) Rule 2004, which remains in force. The Rule allows certain limited use of a phone secured in a mounting fixed to the vehicle, provided any interaction or viewing is infrequent and brief.
Businesses should not assume that every tablet and every tablet function is permitted simply because the device is physically mounted.
As part of the field approval process, confirm:
- the device does not unnecessarily obstruct the driver's required view
- the intended interaction is appropriate while the vehicle is moving
- the intended use is consistent with current New Zealand rules and NZTA guidance

Run a full-shift tablet acceptance test
This is the step that turns a proposed tablet setup into an approved field setup.
Install one representative configuration and use it through a normal working day.
- Fit the exact tablet, case, accessories, and charging arrangement that staff will use.
- Run the normal navigation, dispatch, scanning, reporting, and other work applications.
- Travel a route that represents the vehicle's real operating environment.
- Remove and replace the tablet as often as staff normally would.
- During the shift, check for tablet movement, charging interruptions, glare, connector strain, difficult access, or unwanted changes in screen position.
- If a powered dock is being used, confirm that the tablet seats and charges reliably each time.
- At the end of the shift, check the remaining battery level, mounting hardware, cables, connectors, and feedback from the person who used the setup.
A stationary fit check confirms that the proposed hardware works with the device.
A full-shift acceptance test confirms whether the complete setup is ready for field use.
Record what passed the field test
Once the configuration passes, record exactly what was tested.
Keep the vehicle make, model, and year, tablet model, protective case, holder or dock, power arrangement, mounting components, approved position, and test date. Add a clear photo of the completed installation.
It can also be useful to record the conditions included in the test, particularly where the vehicle regularly operates on gravel roads, rural access tracks, construction sites, or other demanding surfaces.
This creates a reference when the same vehicle and tablet combination needs to be deployed again.

Field tablet deployment checklist
Before approving the configuration, confirm:
- the exact tablet and normal working case were tested
- required cameras, ports, scanners, buttons, stylus, and peripherals remain usable
- the charging arrangement supports a representative working shift
- the device remains secure under normal road and worksite conditions
- the approved position has been checked from the driver's seat
- cables and connectors remain secure during normal use
- tablet removal and replacement match the worker's normal workflow
- representative New Zealand operating conditions were included in the test
- relevant NZTA guidance and road-use requirements were reviewed
- a full-shift acceptance test was completed successfully
- the approved configuration and installation photo were recorded
Approve the setup based on how it performs in the field
A complete field tablet setup is not finished when the mounting hardware has been assembled.
It is ready when the actual tablet, case, power arrangement, working position, accessories, and mounting system have been tested under the conditions the field team experiences during a normal workday.
